Chapter 4 Elicitation and Collaboration

The term elicitation and collaboration describe the methods of gathering information by business analysts regarding common goal from stakeholders by ensuring confirm result from that practices. Elicitation where a business analyst communicates and liaise with all the stakeholders, understand their needs and document the requirements of the solution that needs to be developed where collaboration is about working together with other people to accomplish common goals whether you’re all in one location or dispersed across many. To collaborate well, team members must understand the goal and purpose of the collaboration and actively contribute to the efforts by freely sharing info, talents, and context.

The Elicitation and Collaboration knowledge area is composed of the following tasks:-Prepare for Elicitation the purpose of prepare for elicitation is to understand the scope of the elicitation activity, select appropriate techniques, and plan for appropriate supporting materials and resource. For example, identify the techniques and supporting material needed and understanding circumstances to foster collaboration during an elicitation activity.

: Conduct elicitation: the purpose of conduct elicitation is to draw out, explore, and identify information relevant to the change. Three common types of elicitation following;
:collaborative (which means direct interaction with stakeholders and relies on their experience, expertise and judgement)
:Research(It involves systematically discovering and studying information from materials or sources. Research can include data analysis of historical data to identify trends or past results.
:Experiments(involves identifying information that could not be known without some sort of controlled test. Experiments includes observational studies, proofs of concept, and prototypes.
-Confirm Elicitation results: the purpose of confirm elicitation results is to check the information gathered during an elicitation session for accuracy and consistency with other information.
-Communication business analysis information:(purpose of this task is to ensure that stakeholder have shared understanding of business analysis information. It is not only important to push the information but also ensure that information is understood by stakeholder. This process is an iterative and bi-directional process.
-Manage Stakeholder Collaboration: The purpose here is to manage stakeholder to work towards a common goal. Managing Stakeholder Collaboration is an ongoing activity. The more significant the impact of the change or its visibility within the organization, the more attention is directed to managing stakeholder collaboration.

Preparation of elicitation;
-Purpose (it helps to understand actual outcome of elicitation activity and must Ensure all needed resources are organized and scheduled for conducting the elicitation activities.
-Description (Build a detailed schedule for an elicitation activity, defining the specific activities and the planned dates)

-Inputs
1.Needs(Required to ensure that the business analyst understands what information should be elicited from the stakeholders. This input is used when eliciting business requirements (except for the business need itself).
2. Stakeholder Engagement Approach (It help to understand communication which occur between stakeholder and how collaboration deliver positive result to make plan and to prepare for specific elicitation events.


 Elements
There are some sources which helps the business analyst to discover the information during some activities and techniques:
1.       Business domain
2.       Corporate culture and surrounding
3.       Future solution
4.       Solution Approach
5.       Location of the stakeholders
6.       Skills of the business analyst

Guiding tools and the techniques

1.       Business Analyst Approach: In this method business analyst determine the type of stakeholders and the location, timing of the work and identifying the challenges and risk taken by them.
2.       Business Objective: In this they come to know what are the desires of the stakeholders that they need to achieve in the future. Then they can plan and prepare themselves.
3.       Existing Business Information: Gives the information of the goals and the responding activities and helps to prepare for the future planning.
4.       Potential Value: Gives the information that should be implemented in the future.

There are some techniques which can be used by business analyst:

3.       Document Analysis
4.       Estimation
5.       Interviews
6.       Mind Mapping
7.       Risk Analysis and Management

  1. Prepare Stakeholders: In preparation the Business analyst educate the stakeholders about the responding and the goals which they needed. This activity will be helpful for them to get better understanding of the of the elicitation activities. By reviewing the raw material business analyst also may force the stakeholders for the better possibilities and understanding.
    The main idea behind this is to support and preparing the stakeholders for the upcoming results and the outcomes with the necessary information and the techniques.
    Responding through research is the solo activity for the business analyst that do not require the stakeholders.

  2. one of my team member discussed about elicitation and collaboration. Elicitation means receiving of information from stakeholders or other sources. The other side collaboration is the act of two or more people working together towards a common goals. Elicitation and collaboration is the competency of any good business analyst. The elicitation and collaboration is composed five major tasks includes prepare for elicitation, conduct elicitation, confirm elicitation results, communicate business analysis information and manager stakeholder collaboration.

    here i want to talk more about the techniques used for the preparation of elicitation. Focus group is one of the most important technique for elicitation as this focus group consist of pre-qualified individuals who represent the concerned stakeholders. In addition to this required workshop is also play major role in it because it is a way where group members sit together and do their discussion. in this techniques every group member give their views for do some kind of changes to meet with the business goals. for example they discuss what kind of strategies we should use to change things for meet with the objectives. so i believe that these two techniques also matters a lot for the preparation of elicitation because these are not just helped in completing the business goals but also improve interpersonal skills individually.
